We at Dominican Sisters of Sparkill takes your privacy seriously. This Privacy Policy applies to information we collect about individuals who interact with our organization’s website at www.sparkill.org and/or access the services we offer, as well as through other means including in person, by post, by electronic transmission, or by telephone. It explains what personal information we collect, how we use that information, and the conditions under which we may share it with others.

We collect and store personal information that you provide when you:

  • Sign up to receive newsletters or electronic communications
  • Make a donation directly to us or via a third-party trusted website
  • Register to be a volunteer
  • Register to attend one of our events
  • Take part in one of our activities
  • Contact us with an inquiry by email, phone, or via our website or subsites

Individuals under the age of 16 must have a parent or guardian’s permission before providing us with personal information

In order for us to provide the best experience possible, we use a variety of third-party service providers in our daily operations.  Much consideration was used in selecting these providers regarding their data processing and storage practices. Because we are not responsible for the content or privacy practices of non-Sparkill.org operations, you may wish to review these additional privacy policy and terms of use agreements of our third-party service providers:

We will collect personal data on or via our website or other communications platform only if it is directly provided to us by the user and is therefore provided with your consent. Types of data we collect:

  • Your name
  • Address
  • Telephone number
  • Email address
  • Contact preference
  • Gift and donation details
  • Subscription information
  • Event registration, attendance, or ticket purchase details
  • Your IP Address and Website activity collected through cookies – see “cookies”
  • Any other information provided by yourself, at our request.

Regarding children under the age of 16, we only collect details (such as the child’s name, age, etc.) with the permission of a parent or guardian and where relevant and necessary for the provision of our services.

Sensitive personal data

Some information we collect from you or a third party may constitute sensitive personal data. We will only ever use this information in accordance with this privacy policy and will take necessary measures to protect your information and its confidentiality.

Participating in events or volunteer work

When an individual registers or volunteers to participate in an art, educational event, fundraising, or other service project. We will hold and process the data provided to us securely and in accordance with this privacy policy. Future communication will be directed to the person or business who provides us with the data. We will never communicate with children directly without the knowledge of the parent or guardian.

  1. How we use your information

When you supply personal information to us, we are legally obliged by the General Data

Protection Regulation 2018 to ensure that the information you have provided is only used for

the purpose for which it was intended, and to ensure that the data is kept securely. We will not use your information for any other purposes unless we are required to do so by law.

We will only use your data in a manner that is appropriate considering your relationship with us, the basis on which that data was collected, and the preferences you have indicated to us.

We may use your personal information to:

  • reply to inquiries you send us
  • fulfill or complete an order or reservation made online, including sending payment receipts or updates
  • handle donations that you initiate
  • send you marketing or fundraising communications by email, where you have specifically agreed to this

Required donation communications

There will be times where we are required to send you communications either by postal service, telephone, or email regardless of your contact preferences currently on record. This information is essential for donation transactions. Examples include: payment confirmation, receipts, thank you letters, reminders, or insufficient funds notifications.  If you have opted out of either emails or postal communications, you will not receive newsletters or event invitations unless you request us to do so by updating your communication preferences.   1. How we analyze your data

We may use analytical and statistical tools to monitor details of your visits to our website and the resources that you access, including, but not limited to, traffic data, location data, weblogs and other communication data. This information is to ensure that we provide the best experience possible and does not personally identify you.

We may also use tools to monitor the effectiveness of our communications with you. Such communications include email delivery and open status, as well as links clicked. This information is generally available through our mail delivery system, Constant Contact (go to https://www.constantcontact.com/legal/customer-contact-data-notice for their privacy policy).

We will never sell or distribute any information provided to us unless it is to fulfill a request made by you. We have in place a data processing agreement with those third parties that

fulfills our legal obligations in relation to the use of these data processors. (See “Third party data” for full list.) there should be a link to

We will only pass your data to third parties under specific circumstances. Examples include:

  • you have provided your explicit consent for us to pass data to a named third party
  • by opting in to receive our newsletter, you agree that Constant Contact will have access to your name and email address.
  • we are required by law to share your data

Purchases made from our website are securely and privately processed through a third-party affiliate. Your credit card and personal information is not received or stored by us. Where you donate via EFT Transfer or Mobilecause, they will send us the following information about you where we request it:

  • Your name
  • Address
  • Telephone number
  • Email address
  • Records of your contact with us/them
  • Purchase information including the cards that were ordered and the purchase amount.
  1. Your data rights

At any time, you may ask us whether we are keeping personal information about you. You may also request to receive a copy of this data. For us to comply with your request, it will be necessary for you to provide adequate proof of identity (birth certificate, driver’s license, or passport) in advance. In order to avoid delays, please be as clear as possible as to what you are seeking. Once your request is received and proof of identity is confirmed, you will receive a response from us within 30 days.

At any time, you can opt out of some or all of our communications by clicking the Unsubscribe link located at the bottom of each communication.

  1. Cookies and embedded content from other websites
